Welcome to Xceptional Travel Destinations Travel, LLC dba (XTD Travel), where we are dedicated to offering you an extraordinary travel experience. This document outlines our Terms & Conditions, which form a binding agreement between you, the traveler, and us. It's designed to ensure clarity and mutual understanding of our services, obligations, and policies. We recommend reading this document thoroughly to ensure a smooth and enjoyable travel experience.
ELECTRONIC OR HANDWRITTEN SIGNATURE
You agree to be bound by this Agreement by acknowledging these Terms & Conditions through an electronic signature, handwritten signature, email acceptance, or implied consent (e.g., through payment or service use). We accept electronic signatures via verified platforms or digital methods to accommodate your convenience.

IDENTIFICATION
Bookings must be made under the full name on your government-issued identification document. Clients are responsible for all applicable fees for any name changes after the issuance of travel documents.
DEPOSIT AND FINAL PAYMENT
A minimum per-person deposit is required at booking, and all payments are non-refundable. Full payment must be completed 100 days before departure for international travel or 80 days for travel within the United States and the Caribbean. For cruise ONLY trips, full payment must be completed 130 days before departure.
Please note that XTD Travel does not accept check payments. We welcome payments via debit cards, credit cards, and PayPal. For your convenience, credit card payments can be made securely online to complete your travel payments. Our transactions are processed using PayPal and Stripe, allowing you to pay with your PayPal account or any major credit card.
REFUNDS
Given our commitments to hotels, airlines, and other vendors, all payments to XTD Travel are non-refundable and non-transferable. This policy supports our ability to provide exceptional value in our travel packages. For concerns or inquiries, our travel consultants are here to assist.
PASSPORTS AND VISAS
Travelers are responsible for obtaining and verifying all necessary travel documents, including passports and visas. It is essential to consult with the relevant consulate(s) or a visa agency to determine specific entry requirements. Passports must be valid for at least six months beyond the travel date. Additionally, some countries may require at least one blank page in the passport to stamp upon arrival. The information provided here applies only to U.S. citizens; non-U.S. citizens must consult with the consulates of the countries they plan to visit to verify current entry requirements. We strongly recommend that all passengers carry a valid passport throughout their cruise travel.
TRAVEL PROTECTION
We strongly recommend purchasing travel insurance to cover unforeseen circumstances and that you choose a policy that suits your specific travel needs.
Coverage Benefits: Travel insurance can offer protection for various unforeseen events, including:

Trip Cancellation: Reimbursement for non-refundable travel expenses if you need to cancel your trip.

Trip Interruption: Coverage if you need to cut your trip short for covered reasons.

Baggage Loss: Compensation for the loss or damage of luggage and personal items.
XTD Travel may provide information about travel insurance for convenience but does not guarantee its accuracy or completeness. XTD Travel is not an insurance provider and therefore has no responsibility for processing, paying, or adjusting insurance claims. All insurance claims must be directed to and handled by the insurance company specified in your policy.
For land and cruise tours, we offer the option to include travel insurance in your package when booking. By choosing not to purchase travel protection, you acknowledge and accept full responsibility for any cancellation penalties and out-of-pocket expenses you may incur. Additionally, you are responsible for arranging and covering the costs of any medical treatments needed in the event of a medical emergency during your travels.
TRAVEL DOCUMENTS
If payments are completed by the due date, travel documents and instructions will be emailed or mailed 30 days before travel. A fee applies for requests for paper documents when electronic versions are available.
TRAVEL POLICIES FOR MINORS
All travelers under the age of 18 must travel with an adult companion. Our tours have specific age requirements:

General tours accept children aged six months and above.

Children must be at least 12 years old for South Africa and Dubai Tours.

European Tour programs also require children to be at least 12 years old.

Cruise tours permit children from 6 months of age but must share a cabin with an adult aged 25 or older.
Some of our tours, such as those in the Caribbean and Mexico, may offer discounts for children under 12 sharing a room with two paying adults. The accompanying adult must always ensure the child’s safety, including providing necessary safety equipment, such as infant/child car seats.
Travel Authorization
Furthermore, due to international child protection laws, if a traveler is under 18 years old and will be travelling without both parents or with an adult who is not their parent, the proper documents are essential.
Required Documentation: The minor must have a notarized letter from the parents or the parent not travelling. This letter must:

Grant permission for the child to travel.

Include the travel dates.

Be carried by the minor during the trip.
This letter helps ensure that the child has consent to travel, providing clarity and security for all parties involved.
PRICES
Prices are quoted per person based on two individuals sharing one room unless specified differently. These prices exclude personal expenses like laundry services, alcoholic and non-alcoholic beverages, meals (unless you're staying at an all-inclusive resort or it is specified in the package), passport and visa fees, travel insurance, and taxes incurred at foreign ports. The listed prices are accurate as of the time they are published. Still, please be aware that airfare prices are subject to change due to fluctuating market conditions and limited availability, which may also affect our tour packages' final cost and availability.
PAYMENTS & CANCELLATION
Late Payment: A $25 late fee applies each month a payment is not made by the payment due date AND if the balance remains unpaid after the final payment due date.
Payment plan: If you have opted for a payment plan, payment must be made on the due date or incur a $25 late fee each month that a payment is missed.
Cancellation: To cancel a reservation, you must submit your request in writing. Please email your cancellation to cancel@XceptionalTravel.com. Include the invoice number, the guest's full name, and the start date of your scheduled travel event or vacation package in your email. After sending your email, if you do not receive a confirmation of receipt within 48 hours, please contact us at 240.224.9312 to confirm that we processed your cancellation request.
Please be aware that cancelling your reservation does not automatically entitle you to a refund, as XTD Travel maintains a no-refund policy. Cancelling merely releases the reservation.
Reservation Changes: A fee may apply for any changes made to your reservation, including name changes and service modifications.
COVID-19 WAIVER OF LIABILITY
Background on COVID-19: In Spring 2020, the World Health Organization (WHO) declared COVID-19 a global pandemic. The Centers for Disease Control and Prevention (CDC) recommends preventative measures to mitigate its spread, such as frequent hand washing, wearing face masks, and maintaining social distancing. COVID-19 can cause serious health issues. For detailed information, visit the CDC website.
Acknowledgement and Acceptance of Risks:

Nature of COVID-19: I acknowledge that COVID-19 is highly contagious and spreads primarily through person-to-person contact.

Service Provider Policies: I understand that XTD Travel’s service providers have COVID-19 prevention policies, which are subject to change without notice and may not be within XTD Travel’s control.

Local Regulations: I will familiarize myself with and adhere to all local COVID-19-related regulations and policies of each destination in my travel itinerary.

Compliance with Vendor Policies: I am responsible for knowing and complying with all COVID-19 safety policies of the travel vendors listed in my itinerary.

Quarantine Risks: Traveling may expose me to the risk of being placed under quarantine, either voluntarily or mandatorily, at my destination or upon returning home.

Assumption of Risk and Release of Liability: I voluntarily assume all risks associated with travel, which may expose me to COVID-19. I hold harmless XTD Travel and its related parties from any from any liability, claims of injury, loss, or damage associated with COVID-19.

Indemnity: I agree to indemnify XTD Travel against any claims or costs arising from or in connection with COVID-19 related to the services provided or arranged by the club.
TRAVELERS WITH DISABILITIES AND SPECIAL NEEDS
Choosing the Right Tour: To fully enjoy your XTD Travel tour, we recommend selecting a trip that matches your physical abilities. Travelers requiring assistance due to physical disabilities, sight, or hearing impairments must notify XTD Travel before booking to confirm that XTD Travel can make suitable arrangements. Such travelers must be accompanied by someone capable of providing the necessary assistance throughout the tour. XTD Travel staff cannot provide personal assistance, including tour managers, guides, drivers, and other personnel.
Participation Requirements: All travelers must be capable of understanding and following instructions from the Tour Director to ensure both the smooth operation of the tour and their safety. XTD Travel reserves the right to deny participation or remove a traveler from a tour if appropriate notification has not been provided, or if the traveler's continued participation would significantly affect the tour's operation or the experience of other guests.
Responsibility for Additional Costs: If travelers are unable to continue with the tour for any reason, they are responsible for any costs incurred, including cancellation fees and expenses for alternative travel arrangements or early return home. Our escorted
vacations are often fast-paced, and there may be periods of extensive standing or walking, occasionally over uneven or rough terrain.
Accessible Travel: We can provide information on the accessibility of tour destinations upon request. However, please be aware that accessibility standards and regulations may differ significantly from those in your home country.
ROOMMATES & SINGLE SUPPLEMENTS
Sharing: To avoid a single supplement fee, you can opt for our roommate matching service, where we will pair you with a compatible roommate based on your provided information. If a roommate cannot be found, you will be responsible for paying the single supplement fee.
Responsibility: XTD Travel is not liable for roommate conflicts, personal disagreements, or mismatched preferences. We strive to make suitable matches, but we cannot guarantee a perfect pairing.
HEALTH & SAFETY
Medical Considerations: Travelers must be in good health to participate in our tours. Consult your physician to discuss travel health risks and obtain necessary vaccinations or medications.
Health Advisory: Some destinations may have health risks. It is essential to consult a medical professional regarding any recommended vaccinations or health precautions for your travel itinerary.
Fitness for Travel: It is your responsibility to ensure you are physically and mentally fit for travel. If you have any health conditions, disabilities, or special requirements, please inform us before booking to discuss potential accommodations.
LIABILITY
Limited Liability: XTD Travel acts as an intermediary between you and various travel service providers, including airlines, hotels, and tour operators. We cannot be held liable for any delays, cancellations, or disruptions caused by third parties.
Travel Risks: Travel inherently involves risks, including illness, injury, theft, and natural disasters. You acknowledge and accept these risks when booking with XTD Travel.
Force Majeure: XTD Travel is not liable for any failure to perform due to circumstances beyond our control, including but not limited to natural disasters, acts of terrorism, civil unrest, and pandemics.
GOVERNING LAW
Jurisdiction: This agreement is governed by the laws of the State of Maryland. Any disputes arising from or in connection with this agreement shall be resolved exclusively in the state or federal courts located in Maryland.
Severability: If any provision of this agreement is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
